National Engine Depot Returns and Refund Policy

National Engine Depot is committed to providing accurate product information, dependable order fulfilment and fair resolution of customer concerns. This policy explains when products may be returned, the procedure for requesting a return, applicable charges and when approved refunds will be issued.
This policy applies to purchases made directly through National Engine Depot. Warranty claims, core returns and products expressly identified as final sale are subject to the separate provisions described below.
Please review this policy before placing an order.
Standard Return Policy
Eligible products may be returned for a refund, including returns based on a change of mind or customer ordering error, when all the following requirements are met:
- The return request is submitted within 30 calendar days after confirmed delivery.
- A Return Merchandise Authorization number has been issued.
- The product has not been installed, used, modified, disassembled, or damaged.
- The product remains complete and in its original condition.
- All accessories, documentation, packaging and supplied components are included.
- The product can be resold in its original condition.
Submitting a request within the return window does not automatically guarantee approval. Every returned product is inspected before a refund is authorized.
Return Merchandise Authorization
Customers must obtain a Return Merchandise Authorization, or RMA, before shipping or delivering any product for return.
To request an RMA, provide:
- Customer’s full name
- Order number
- Product name and SKU
- Telephone number
- Email address
- Confirmed delivery date
- Reason for the return
- Photographs of the product and packaging
- Photographs of any damage, defect or incorrect item, when applicable

If approved, National Engine Depot will provide the RMA number, authorized return address, packaging instructions and applicable freight information.
Unless otherwise stated in the authorization, an RMA is valid for 10 calendar days from its issue date. The return shipment must be given to the approved carrier within that period.
Returns sent without authorization may be refused and returned to the sender at the sender’s expense.
Do not return merchandise to the contact address shown at the end of this policy unless the written RMA instructions specifically direct you to that address.
Return Methods
Returns must be made by mail or an approved freight carrier, depending on the product’s size and weight.
Engines, transmissions, differentials and other oversized products must be:
- Properly drained of all fluids
- Secured to an appropriate pallet or shipping container
- Protected against movement and transit damage
- Shipped using the carrier and instructions specified in the RMA
National Engine Depot does not currently accept unauthorized walk-in returns.
Customer-Requested Returns
For an eligible return caused by a change of mind, duplicate order, incorrect vehicle information or another customer ordering error:
- The customer is responsible for return shipping.
- Shipping charges originally paid are non-refundable.
- A 20% restocking fee applies to the product purchase price.
- Expedited shipping, liftgate charges and other completed delivery services are non-refundable.
- The product must satisfy all return-condition requirements.
Any restocking fee will be reduced where required by applicable law and will not exceed legally permitted rehandling and restocking costs.
If an order received free outbound shipping, National Engine Depot will not deduct an additional outbound shipping charge from the refund. The customer remains responsible for return shipping.
Products Not Eligible for Standard Return
The following products are not eligible for a standard buyer-remorse return:
- Products that have been installed or partially installed
- Products showing installation marks or evidence of use
- Products that have been modified, altered, programmed or disassembled
- Products damaged after delivery
- Products missing supplied components, identification labels or serial numbers
- Custom-built or made-to-order products
- Special-order products identified as non-returnable before purchase
- Manufacturer-direct products identified as final sale before purchase
- Electrical or electronic products that have been connected, programmed or installed
- Clearance or final-sale products clearly identified as such before purchase
- Products returned outside the applicable return period
- Products contaminated by fuel, oil, coolant or other hazardous substances
A product will only be treated as special order, custom-built, manufacturer-direct final sale or otherwise non-returnable when that restriction was disclosed on the product page, quotation, invoice or order confirmation before the customer completed the purchase.
Installed products that develop a covered problem may qualify for warranty service but do not qualify for a standard return.
Nothing in this section limits rights that cannot legally be excluded.
Damaged Deliveries
Customers should inspect all shipments before signing the delivery receipt.
When visible freight damage is present:
- Describe the damage on the carrier’s delivery receipt.
- Photograph the packaging, pallet, product and damaged areas.
- Retain all packaging and shipping materials.
- Notify National Engine Depot within two business days after delivery.
Do not install or modify a visibly damaged product.
When transit damage is properly reported and confirmed, National Engine Depot will arrange an appropriate remedy, which may include replacement, repair or refund. The customer will not be charged return freight or a restocking fee for a confirmed transit-damage claim.
Failure to record visible damage may affect the available carrier claim but does not eliminate any rights provided by applicable law.
Incorrect Products
If National Engine Depot sends a product different from the product ordered, contact us promptly and do not install or modify it.
After confirming the error, National Engine Depot will:
- Provide return instructions
- Pay the authorized return-shipping cost
- Waive the restocking fee
- Send the correct product, subject to availability, or issue a refund
The customer must make the incorrect product available for return in the condition received.
Products Suspected to Be Defective Upon Delivery
A product suspected to be defective before installation should not be installed or modified. Contact National Engine Depot promptly with photographs, product identification details and a description of the suspected defect.
National Engine Depot may require inspection, testing or manufacturer authorization before confirming that a product is defective.
Confirmed defects identified before installation will not be subject to a restocking fee. National Engine Depot will provide the remedy required by the applicable product warranty and law.
Problems discovered after installation are normally handled under the applicable warranty rather than this standard return policy.
Customer Ordering Errors and Product Fitment
Customers are responsible for providing accurate vehicle and application information, including the year, make, model, engine code, VIN, transmission specification and other requested details.
National Engine Depot may provide compatibility assistance, but the customer must review and approve the final product selection before purchase.
An unused and uninstalled product ordered incorrectly by the customer may be returned within the standard 30-day return period, subject to return freight and the stated restocking fee.
Exchanges
National Engine Depot generally processes exchanges as:
- A return of the original eligible product; and
- A separate order for the replacement product.
Any price difference, shipping charge or applicable tax for the replacement order must be paid before shipment.
When an exchange results from our error or a confirmed delivery defect, National Engine Depot will pay the authorized return and replacement shipping costs.
Order Cancellations
Cancellation requests should be submitted as soon as possible.
A standard stocked-product order may be cancelled for a full refund if:
- The order has not shipped;
- Freight has not been booked or collected; and
- The order has not been released to a manufacturer or supplier for fulfilment.
Custom-built, made-to-order and specially procured products cannot be cancelled after production, procurement or supplier fulfilment has begun when that restriction was disclosed before purchase.
If an order has already shipped, the request will be handled under the customer-requested return provisions of this policy.
If National Engine Depot cannot fulfil an order, the customer may accept a revised delivery date or cancel the unshipped order for a full refund, including applicable shipping and handling charges.
Refused and Undeliverable Shipments
Customers should not refuse a shipment unless instructed to do so by National Engine Depot or unless substantial visible freight damage is documented with the carrier.
An unauthorized refused delivery may be treated as a customer-requested return. The customer may be responsible for:
- Original shipping charges
- Return freight
- Carrier storage or redelivery charges
- The applicable restocking fee
These charges will not apply when the refusal results from our confirmed error or properly documented substantial transit damage.
Return Inspection
National Engine Depot will normally inspect a returned product within five business days after it is received.
The inspection will determine:
- Whether the correct product was returned
- Whether the product was installed, used or modified
- Whether parts or accessories are missing
- Whether transit or packaging damage occurred
- Whether the product satisfies the approved RMA conditions
- The amount eligible for refund
Customers will receive written notice if a return is rejected or if deductions are applied.
If a return is rejected, the customer may be required to pay shipping charges to have the product returned. National Engine Depot will provide instructions and a reasonable collection period before taking further action.
Restocking Fee
A 20% restocking fee applies to approved buyer-remorse and customer-ordering-error returns.
No restocking fee applies when:
- National Engine Depot shipped the wrong product
- The product arrived damaged, and the damage was properly reported and confirmed
- The product was confirmed defective before installation
- The order was cancelled before shipment and before fulfilment began
- Applicable law prohibits the fee
Any deduction will be identified in the refund notification.
Refund Amount
An approved refund will include the eligible product purchase price and applicable refunded sales tax, less any disclosed and legally permitted deductions.
Possible deductions include:
- The applicable restocking fee
- Return freight paid on the customer’s behalf
- Non-refundable original shipping charges
- Missing components
- Damage occurring after delivery or during an inadequately packaged return
National Engine Depot will not deduct charges caused by its own confirmed error.
Refund Processing Time
After inspection, National Engine Depot will notify the customer whether the refund has been approved or denied.
Approved refunds will be issued to the original payment method within seven business days after approval.
After a refund is issued, the customer’s bank, card issuer, or payment provider may require an additional three to ten business days to post the credit. Processing times controlled by financial institutions are outside National Engine Depot’s control.
Bank-transfer refunds will only be returned to a verified account belonging to the original purchaser or originating payer, subject to applicable verification requirements.
Core Returns and Core Credits
Core returns are separate from standard product returns.
Unless different terms were disclosed for the applicable product or order:
- A domestic core-return pickup request must be submitted within 15 calendar days after delivery of the replacement product.
- The core must be substantially complete, rebuildable, and properly drained.
- The core must be packaged using the original crate, tote or another approved container.
- The supplied Bill of Lading must be used when National Engine Depot provides prepaid domestic core-return shipping.
- Core eligibility expires six months after the original product delivery date.
- Core credits are issued only after the returned core has been received, inspected, and accepted.
Deductions may apply for missing components, cracked or non-rebuildable housings, improper packaging or damage not attributable to normal service wear.
International customers are responsible for core-return freight, customs charges, duties, taxes and brokerage costs.
Complete requirements are provided in the separate Core Return Policy. If the product page, quotation, or order confirmation contains product-specific core terms, those disclosed terms will apply.
Warranty Claims
Warranty claims are handled separately under the warranty supplied with the applicable product.
A warranty claim may require:
- Proof of purchase
- Product serial number
- Professional diagnostic report
- Installation invoice
- Maintenance records
- Photographs or videos
- Return of the product or affected components
- Prior written authorization before repairs begin
Warranty coverage does not automatically entitle the customer to a refund. The available remedy may include diagnosis, repair, replacement or another remedy specified by the warranty and applicable law.
International Returns
International return requests must be submitted within the applicable return period and receive written authorization before shipment.
Unless the return results from National Engine Depot’s confirmed error, international customers are responsible for:
- Return freight
- Customs clearance
- Duties and taxes
- Brokerage fees
- Export documentation
- Insurance and related expenses
International shipping, duties, taxes, and brokerage charges are non-refundable except where required by law or when the return resulted from our confirmed error.
International customers should not ship a return until National Engine Depot provides written routing and customs instructions.
Legal Rights
This policy does not limit any non-waivable consumer rights or remedies available under applicable federal, state or local law.
Where applicable law provides greater protection than this policy, the applicable legal requirement will control.
